Hi Pranita,


Here is the first email that went out to everyone.  Did you receive the email last night with the schedule for Sunday?








My name is Alex Nette and I am the tournament director for the Falls Church FLL Regional tournament at Mary Ellen Henderson Middle School in Falls Church, Virginia.  I'd like to officially welcome you all to our regional this year and I look forward to meeting you on Sunday, November 15th!
 
With the tournament a little under three weeks away, I'd like to provide you all with some details for the big day.  While I'll cover a lot of details in this email, please make sure you check the tournament website for the most recent updates.  Many details, including the schedule, are subject to change up until the day of the event, so please check the website often!
 
Note: Mary Ellen Henderson is hosting two, one-day tournaments.  Teams competing and their results from the tournament are completely separate and will not be judged against each other.  Please take careful note concerning the day of your team’s regional tournament.  Team’s showing up on the incorrect day WILL NOT be allowed to compete on that day.
 
Team List:
I have attached a list of the teams at this year’s tournament below with their national number, team name and division.  Please read over it and verify all the information is correct.  If you have any questions about the information, please email me and let me know.  Also note that Division I teams are those that everyone on the team is 11 or younger as of January 1, 2015.

Schedule:
A detailed schedule will be sent out early in November.  Registration is tentatively set to begin at 7:45 am, with the opening ceremonies beginning at 9:00 am.  Please review the entire schedule, and again, it is subject to change. If any revisions are made, everyone will be notified.
 
Food:
With the gracious help of our local FLL teams, a few of them will be teaming together to have a fundraiser by running the concession stand at the event.  It is a full service concession stand and will have many options for food.  There are also a few local restaurants nearby, with a guide provided in your registration packet, but your schedule may limit your choices.  All of the teams will have large tables in the pit area to eat and work at throughout the day.
 
FIRST Consent/ Release Form:
Coaches are responsible for ensuring that each team member, mentor, and coach, submits a release form, signed by the team member's parent/guardian, to the registration desk upon arrival.  Alternatively, if your entire team has filled out the consent forms on TIMS, a printed copy of the roster showing each team member’s name with the consent form completed will also fulfill this requirement.  Team members cannot, and will not, be allowed on the performance floor or in the judging rooms without this form.  This form can be found here: Consent and Release Form.  THIS IS REQUIRED AND WILL BE STRICTLY ENFORCED.
 
Team Information Sheet:
Please bring four (4) copies of the Team Information Sheet with you.  You will turn in one copy to the registration desk, one will go to the Robot Design judges, one to the Project Presentation judges, and one to the Core Values judges.  This form can be found here: Team Information Sheet.  It is very helpful if you attach a team photo to the back of each of the Team Information Sheets, but this is optional.
 
What to Bring:
While this is a fairly complete list of things to bring, it by no means encompasses everything.  Please adjust it as you see fit, but please note that some items are prohibited:
 
- Your robot
- A box in which to transport your robot
- A laptop
- Anything you need for your project presentation
- Spare batteries, or a charging cord for rechargeable ones.  Note that charging stations will be provided around the perimeter of the pit area and designated with signs above the available power strips.  Extension cords WILL NOT BE PERMITTED to run power to individual tables as they will be a fire and tripping hazard
- A backup copy of your robot's program (electronically)
- A printed copy of your program, if possible, for the Robot Design judges
- Consent/ release forms for all team members, mentors, and coaches
- Four copies of the Team Information Sheet, with optional attached photos
- Cooler with food and drinks (optional).  Again, food will be on sale at the concession stand
- Items to trade with other teams, such as pins, stickers, cards, etc. (optional)
- Please DO NOT BRING individual team challenge mats.  Full practice tables will be provided for all the teams to work on throughout the day in the pit area and teams will be given equal time to utilize them

I will be sending out additional updates as we draw closer to the event, so please keep an eye out for them.  Thank you all for being leaders and being part of something as great as FLL!
