Hi Anita,
It's the team's choice about what they want to bring in to each session.  I would just focus on having them decide and work out exactly who is carrying what, and what the setup time will be.  The more time they spend setting stuff up, the less time they have to share with the judges.  They really need to run a tight ship in terms of the schedule so they don't get behind.
