I would recommend that you tell the family that the team is closed at this point. It sounds as though your team is working well as is, and the chemistry will definitely change adding someone at this late date. However, to encourage that individual to join next year, I suggest you invite them to the regional tournament as a team observer, and perhaps to a working meeting/practice or two. That way they will see what the kids are working on, get a close-up picture of what it takes, and get to enjoy the positive energy generated from the tournament.

 

Before we decided to form a team, we went to a regional FIRST high school competition, to see what it was all about. That got us pumped up and ready to jump in 2 years ago.

I am offering a slightly different perspective than some of the others offered here.  While I am a rookie FLL coach, I have coached Jr.FLL for three years and I have been an FLL tournament volunteer and organizer for many more.  I would - if in this situation - tell the interested family that membership to the team for this season is closed.  The team has been working together on the challenge for more than a month and we are effectively at the halfway point of the season.  I'm not a fan of turning away kids who want to be involved, but I also recognize that there need to be boundaries and saying "yes" to/accommodating every interested child - especially mid-season - is not feasible and can make your life that much more difficult as a coach.

I feel the same way as Brandy, but I also think that Phil's idea to let this possible new member come to the meetings and the event in a lesser role, with the understanding that he can be a full team member next season. Events start in less than a month, after all, and you said that most of the work has been done.

Out of all the good questions you have asked yourself in this email- ask the team?  How will the new kid fit into the team? - the last consideration you should try to imagine is if not attending this season's competition would discourage them from attending next season.   The parents must know OCTOBER is late in the season, and they missed the cut off that the other members came in on.  

      If your team is happy and productive, I don't see a compelling reason to add new members at this point.  If you were lacking in any area- research/ drama people or engineers- then you might have a reason to let in new and fresh talent, but having a balanced team seems like a  great way to go into your first competition.
